Sidebar Care & safeguarding Children [the young person] Weekly Reports

A weekly report is the summary of one young person's week that goes to their social worker or placing authority. Anyone in the home can write one. Only a manager can sign it off, and until they have, it is a draft.

Open Children in the sidebar, then the young person's record, then Weekly Reports.

Compile a report

  1. Select Compile report. The Compile weekly report modal opens, headed "Summarise the child's week for the social worker / placing authority. A manager must sign off before the report is issued externally."

  2. Check the period. Period start and Period end default to the current week, Monday to Sunday. Change them if you are writing up an earlier week. The end date cannot be before the start date — ARC rejects the save if it is.

  3. Write the sections. All of them are optional:

    • Highlights — key positives, achievements and progress
    • Concerns
    • Health & wellbeing notes
    • Education notes
    • Contact summary — contact with family, professionals or the placing authority
    • Incidents summary
    • Additional notes
  4. Select Compile report. The report is saved as a Draft and appears in the list with your name against it.

Nothing is filled in for you. Read back the week's journals, logs, incidents and contact logs and write the summary yourself.

Editing a draft

While a report is a draft, Edit reopens it as Edit weekly report with everything you saved already in place; Save report writes it back.

Editing is a merge, not a replace. Change the Concerns section and the Highlights you wrote yesterday are still there afterwards — ARC only writes the fields you actually sent.

Manager sign-off

A manager sees an extra button on any draft: Sign off & issue.

Selecting it marks the report Issued, stamps the manager's name and the time on it, and ARC confirms "Report signed off and marked as issued." The badge turns from amber Draft to green Issued, and the Edit and Sign off & issue buttons disappear from that report.

Sign-off happens once. A second attempt is refused with "This report has already been signed off."

The list shows who compiled each report and, once signed off, who signed it — which is the trail to point at when a social worker asks who wrote what.

A manager can also send a record that is awaiting sign-off back to a named member of staff for changes, or undo a sign-off if something was missed. See Send a record back for changes, or undo a sign-off.

Reports stay with the young person

Reports are held against the individual young person. Another young person's weekly reports page shows only theirs; there is no shared pool.
