1. Acceptance of terms
By requesting a demo or using Arc, you agree to these terms. If you are agreeing on behalf of an organisation, you confirm you have authority to bind that organisation.
2. The service
Arc is a recording and record-management system built for UK children's residential homes, covering daily records, handovers, care planning, incidents, safeguarding and regulatory reporting.
Arc is generally available. Features described on this site may change as the product develops.
3. Accounts and responsibilities
Your organisation is responsible for the accuracy of information entered into Arc and for controlling which staff have access to it.
You must keep login credentials confidential and notify us promptly of any suspected unauthorised access.
4. Data protection
Arc processes personal data, including special category data relating to young people, as a data processor on your organisation's behalf. Data is hosted in the UK.

5. Use of AI
Where Arc uses AI to produce draft text, identifying details are removed before the request reaches the model, processing takes place in the UK, and every request is logged and auditable.
AI-generated drafts are advisory only. A named member of staff must review and approve a draft before it becomes part of the formal record.
6. Fees and billing
Current pricing is published on our Pricing page. Fees are billed monthly per home, with no minimum term.
Companies that submit a demo request before 1 January 2027 and open an account before 1 June 2027 receive twelve months free on one home — the first home added to the account — applied automatically from the first invoice. Eligibility is determined by the date of the first demo request received from that company, and the offer is limited to one home per company regardless of how many demo requests are submitted. An account opened on or after 1 June 2027 is charged at the published rate, whatever the date of the demo request. Additional homes are charged at the published rate from the date they are added.
7. Limitation of liability
Arc is a tool to support recording and oversight. It does not replace professional judgement, and your organisation remains responsible for care decisions and statutory compliance.
To the extent permitted by law, Arc's liability is limited to the fees paid for the service in the twelve months preceding a claim.
8. Changes to these terms
We may update these terms from time to time. Material changes will be communicated by email to registered account holders before they take effect.
9. Privacy
We collect the information needed to provide the service: account details, usage data, and the care records your organisation enters. We do not sell personal data.
Young people's data entered into Arc belongs to your organisation. We act as a processor and only use it to provide, secure and improve the service.
