Send back a record or undo a sign-off
How a manager sends a record back for changes or takes a sign-off back, and what the member of staff sees and does next.
Each record type has its own review permission. For most it belongs to the manager; for finance entries it belongs to a senior or a manager. The resubmit step is open to the person the record was sent back to.
When the person who signs a record off (a manager for most records; a senior or manager for money) has looked at it and it is not right, they can send it back to a named member of staff with a note, rather than signing it off. If they have already signed something off and need to take that back, they can undo the sign-off. This page covers both, and the step that follows.
If a record has been sent back to you, it appears on your dashboard's Needs attention tab under Returned to you. Open it, read the note, make the changes, then select Submit for review again. It stays with you until you do.
What it covers
The same steps work on these records, each from the record's own page:
Chats (keywork sessions), complaints, consents, contact logs, rewards, sanctions, activities, appointments, incentive entries, finance entries, admissions, statutory plans, wishes and feelings records, weekly reports, physical intervention records, return home interviews, regulatory notifications, LAC reviews, Ofsted inspections, and the home's own finance entries and checks.
Risk assessments have the same steps inside their Manager review panel, with Approve in place of a sign-off. Journals and incidents have review steps of their own.
Send a record back (whoever signs it off)
-
Open the record that is waiting for review and select Send back. The button only appears while the record is awaiting review, not once it is signed off.
-
Choose who it goes to in Send to. It starts on the person who created the record, and you can pick any member of the home.
-
Say what is needed in What is needed?. Both boxes are required.
-
Select Send back.
The person is told three ways: an email, a notification in ARC (titled with the record type, such as Consent sent back to you), and an alert on their dashboard that stays until they resubmit. The note is seen only by them and by whoever can sign the record off. Anyone else who opens the record sees who it was sent to, not what it said.
Once a record has been sent back it stays with that person. You cannot send it back again until it has been resubmitted: ARC says "This record has already been sent back to [name]. It can be sent back again once it has been resubmitted."
Undo a sign-off (whoever signs it off)
-
Open the signed-off record and select Undo sign-off.
-
Give a reason in Why are you undoing the sign-off? It is required.
-
Select Undo sign-off.
The record goes back to awaiting review. You can then sign it off again or send it back. The signed-off version is kept in the version history. You cannot send a signed-off record back directly: ARC says "This record is signed off. Undo the sign-off first, then send it back."
If a record is edited after it was signed off, managers see "Edited since it was signed off" with a pointer to the version history. (It shows to whoever can sign the record off.)
Resubmit (the person it was sent to)
A record sent back to you shows a banner naming who sent it and the note, ending "Make the changes, then submit it for review again." Make the changes, then select Submit for review again. It returns to the queue of whoever signs it off. The person it was sent to, or whoever can sign the record off, can resubmit; anyone else is refused with "Only the person it was sent back to, or a manager, can resubmit it."
If the record has changed under you
If the record changes while a manager has it open, signing off or sending back is refused with "This record has changed since you opened it. Reload to see the latest version before you sign it off or send it back." Reload and look again.
Money moves
A move of money between a home account and a child's pot is two entries. They are sent back, undone and resubmitted together, and the person doing it needs the review permission for both sides.
