Not a folder of documents. A structured, connected picture that holds the thread: this log evidences that goal, in that plan, written because of that incident, which triggered that concern.

Retention is set to a statutory basis per record type. Nothing is hard-deleted, and a subject access request compiles every record held into one audited export bundle.

03 · Planning for the young person

Plans the daily record actually evidences.

Goals link to the logs that evidence them, so progress is visible from real activity rather than asserted at review time.

Plans

Care, placement, pathway, health care, education (PEP), positive behaviour support, and risk. Goals link to the daily logs that evidence them.

Read-and-confirm

Every staff member confirms they have read each published plan version. A new version reopens the confirmation, and someone joining later is still asked.

Risk assessments

Linked to plans, with agreed decisions and per-staff acknowledgement. You know who has actually read the risks, not who was emailed them.

Health care plan

Allergies, conditions, registrations, immunisations, and statutory IHA and RHA dates. Allergies surface prominently where they cannot be missed.

Education support plan (PEP)

School placement, attendance, SEN status, exclusions, designated teacher and Virtual School links. Weekend and holiday logs are marked so a run of "no school" does not read as missed education.

Statutory care planning

Local-authority-held plans and LAC and IRO review timescales, with due and overdue surfacing.

04 · The team around the young person

Safer recruitment, held to the same standard.

The people around the young person are recorded as rigorously as the young person's own record, and kept firmly separate from it.

Staff profiles

The full Schedule 2 record: identity, employment history with gaps explained, references, right to work, DBS with Update Service tracking, and declarations.

Onboarding wizard

Safer-recruitment evidence must be on file before that person can work in the system, and outstanding items are listed plainly.

Training & competency matrix

Mandatory training with renewal dates, and a staff-by-competency grid showing gaps at a glance.

Supervisions & appraisals

Kept firmly separate from young-person records, behind the HR access scope.

Role-based access

Staff, senior, manager, safeguarding lead, HR and company admin each get a surface built for their job. Safeguarding and HR never appear on operational screens.

Multi-home

One company, many homes, with per-home membership and roles.

05 · AI that drafts, never decides

A draft for a person to check. Never the record itself.

Ask for a summary of a journal day or an incident and get an advisory draft in seconds. Identifying details are stripped before anything reaches the model, inference runs UK-only, and every call is audited.

In a market where "AI" usually means "we sent your young people's data somewhere," that distinction is the point.
