Set up medication and go live
Getting staff training in place, setting the missed-dose window, and making ARC your home's legal medication record.
Every home starts in Parallel. ARC records medication alongside the paper MAR from the pharmacy, which stays the legal record, and it raises no medication errors, so staff can learn the screens without consequence. Going Live makes ARC the legal record. You do that once, from Setup.
If you are a deputy, you can open Setup and see where the home is, but only the manager can change the window or go live.
Record medication training
Giving, entering or checking a prescription, and witnessing a controlled drug all need in-date medication training. Add it to the person's training record by ticking Medication administration training. It needs both a completed date and a renewal date; the renewal date starts at 12 months after completion. A training record with no renewal date does not count as in date.
Setup lists anyone in the home without in-date training. That does not stop you going live, but those people cannot give, check, witness or count medicine until it is recorded.
Set the missed-dose window
Under Missed-dose window, enter a number of minutes from 15 to 120. It is how long after its due time a dose can still be given before it counts as missed. A prescription with the Time-critical box ticked uses 30 minutes instead, unless it sets its own window.
Make ARC the legal medication record
Under Make ARC the legal medication record, work through the steps in order. Do it once your practice lead has signed ARC off for go-live.
- Check the home is ready. A young person who has left must have no medicines still open here; close each one out from their medication record first.
- Count every medicine and over-the-counter medicine. Count what is physically there without looking at what ARC expects, then select Check the count. Liquids match within 5% or 2 ml; anything else must match exactly. Every medicine the home holds must be counted. If a medicine does not match, find out why (a supply booked in or out that was never recorded, or a miscount) before you count again. Counting needs in-date medication training.
- Go live. The button opens once every medicine matches. You confirm that you have counted every medicine and that your practice lead has signed ARC off, then select Make ARC the legal record.
This cannot be undone from here. From then on the paper MAR stops being the record, and missed, refused and late doses become medication errors for a manager to review. Errors are not raised for doses due before you went live.
