Write and submit a journal day
How a young person's day comes together from the logs you write, what the Completion & review card checks, and what happens when a manager sends it back.
A journal day is the record of one young person on one date. You don't write it from scratch: it builds itself from the logs the team writes during the shift.
The three stages
| On screen | What it means |
|---|---|
| Draft | Being written. Logs flow into the day as they're recorded. |
| Awaiting Review | Submitted to a manager. You can still add to it. |
| Signed Off | Finalised by a manager. Locked, with a padlock on the badge. |
Write the day
Most of the work is recording logs as things happen. They land in the day automatically. Open the journal day to fill in anything the logs don't cover, and to read it as a whole.
If the day doesn't exist yet, create it from Journals: pick the young person and the date. Download PDF at the top gives you the day as a document. See Export a journal as a PDF.
Completion & review
On the right of the day, the Completion & review card shows a ring of how much is done, and what is still to do. It counts two things:
- Logs: the required logs owed for that day. Optional logs are listed but not counted.
- Journal sections: the sections your organisation has set up.
Show all logs and Show all sections list everything, not just what is outstanding.
Submit it
When every journal section has something in it, choose Submit for review. If a section is still empty the button is greyed out and the card says how many to fill in, for example "Fill in the 2 journal sections to submit".
A missing log lowers the ring but does not stop you submitting. ARC checks the sections again on its own, so this holds even if the page was left open.
Submitting sends the day to a manager. It does not lock it: you can keep adding logs and changing the day, using Save changes, until a manager signs it off.
If a manager sends it back
A manager can send a day back to a named member of staff. It returns to Draft and you get an email, a notification and a dashboard alert. The day shows who sent it back and their note, and the alert stays until you submit again. Make the changes, then choose Submit for review again.
After sign-off
Once a manager signs the day off, it is locked. ARC will say a log can't be added because the day has been signed off. A manager can undo the sign-off if something needs adding. Tell them what is missing and they can decide.
