Home registers and inventory

Count sharps, cutlery and keys against a list of what the home should hold, record checks like fridge temperatures, and close off a count that comes up short.

A register is a record the home keeps about itself, rather than about a young person: the sharps count, cutlery and crockery, key checks, fire alarm tests, temperatures. They are kept on Home Overview, under Logs. They are not the same as the logs you record for a young person.

The registers

Register How it is recorded
Sharps, Cutlery & crockery, Key check, Medication stock, Petty cash Counted: what should be there, and what you found
Fire alarm test, Water temperature, Fridge / freezer temperature, Vehicle check, Other A reading or result

A home that records medicines in eMAR does not get Medication stock; it keeps stock in the medication record. A home that has set up Home finances accounts counts cash there instead, and Petty cash shows Now kept in Home finances.

Record an entry

Anyone who works in the home can record one.

  1. On Home Overview, choose Record a log, or Record beside a register, or Record entry on the Logs tab.
  2. Choose the Log and the Date.
  3. For a counted register, enter Expected and Counted. If the home has an inventory for that register, you instead get Count each item, one line per item showing Should be and Counted. You must count every item. For a check, enter the Reading / result, and tick Something was out of place if it was.
  4. Add Counted with (a colleague), and Notes if needed.
  5. If the count doesn't match, Action taken appears: who was told, what was searched, what happens next.

A count doesn't match when the figures differ. ARC works that out; you can't tick it away. With an inventory, one item short or over is enough, even if the total matches.

When a count comes up short

ARC tells the home's managers that the register did not reconcile, and the register shows Needs resolving. It also sits in the manager's overdue and due feed as "[Register] does not reconcile" until a manager closes it off. See Due and overdue.

A manager chooses Close off on the entry and records What was done about it, which is required. It is recorded with their name and the time, and the entry then shows Closed off. Typing a note on the entry yourself doesn't close it.

You can correct your own entries. Changing someone else's, or removing an entry, is for a manager.

The inventory

The Inventory tab lists what the home should hold, grouped by the register that counts it, with Should be and Last counted. A short item shows N missing (or N extra).

A manager or company admin keeps the list. Choose Add item, then give the Item, which register it is Counted under, How many the home holds, and optionally Where it is kept and notes. Everyone else can read it. The number is the manager's call on purpose: a short count shouldn't be fixed by editing the expected number.

To stop counting an item, retire it. It stops appearing on new counts, and counts it is already on are left as they were. Show retired items lists them. An item that has been counted can't be moved to another register; retire it and add a new one.
