Required logs
The logs your organisation expects done, how often, and how they show on your dashboard until they are.
Any member of the home. You can only open and complete your own entries; which logs you can record depends on your role.
Every log in ARC is the same kind of thing: a form your organisation has set up. Each one can be marked required, and each has a how often setting. Together they decide what shows on your dashboard as still to do.
How often
| How often | It is due |
|---|---|
| Per shift | Once each shift |
| Daily | Once each day |
| Weekly | Once each week |
| Monthly | Once each month |
| As needed | Never due. You record it when something happens. |
A log that is required and set to weekly, say a weekly health check, shows as still to do until it has been done that week, then drops off your list until the next one.
Your organisation can also set a time a log is due by. Then it shows as, for example, "due today by 14:00". After that time it shows as Overdue, but you can still record it. On a child's card it reads Due by a time, then Overdue since that time.
For the home or for a child
| For the home | For a child | |
|---|---|---|
| Example | A fire walkthrough | Morning log, a weekly health check |
| Done by | You, for yourself | Whoever records it for that child |
| Shows as to do until | You complete your own entry | The child has an entry for that period |
For the home, each person has their own entry. A colleague completing the fire check does not complete yours.
For a child, the log is done once anyone has recorded it for that child. The dashboard lists each child still missing one.
The three states
| State | What it means |
|---|---|
| Not Started | Due, and not yet completed |
| Overdue | Not completed, and its period has passed |
| Submitted | Completed, with the time stamped on it |
Completing one
A home log opens as a short form. Anything marked with an asterisk must be filled in. Fields can be text, numbers, yes or no, a choice from a list, several choices, dates, times, files and photos, or a person from your home. On longer text boxes you can dictate instead of typing. A file field takes up to 10 files of up to 20 MB each. Choose Complete when you're done.
Child logs are recorded from the child on your dashboard, in the same way as any other log. Every log has a When time, which starts as now. Change it if you're writing up something from earlier.
Who can record what
Your organisation can limit each log to certain roles, so you may not see every log when you record. Reading is limited the same way. It can also tell roles in the home when an entry is saved; the notification is in the app, and the person who recorded it doesn't get one.
A child's log can sometimes be linked to one of the child's plans when you record it. The entry then shows under the plan's linked logs for anyone allowed to read it.
Logs that have been retired
Shift journal, Room checks and Incident drafts are no longer separate required logs. Entries already recorded stay in the record exactly as they were.
Where you see them
- Staff: the Logs due this shift card on the My shift tab, with a Record button on each row, and each young person's card on the Children tab, under Still to do.
- Seniors: the Required logs card under Across the home on their dashboard, with the tiles Required logs overdue and Logs completed this shift. Managers get the same tiles.
If your organisation has no required logs, the list is empty. See The staff dashboard.
