Count and sign off the home's money
Check the tin or a card against what ARC expects, sign off entries and checks, and close off a discrepancy.
If you are not a senior or a manager, you can still count the tin or read a card's balance; the sign-off, the statement check and the close-off below are for others.
Check an account
Each account has a check button that depends on its type. Anyone in the home can use the first two.
| Account | Button | What you do |
|---|---|---|
| Cash | Count the tin | Enter Counted (£) |
| Prepaid card | Check the balance | Enter Balance on the card's app (£) |
| Debit card | Check the statement | Tick each line; seniors and managers only |
ARC shows what it expects before you save — for a tin, the home's balance plus the children's money in it, with a breakdown by young person. Witnessed by is optional here and cannot be you. Choose Save the check.
For a statement, give the dates it covers, tick each line in ARC that is on it, and use Add a line for anything on the statement that ARC does not have.
A match is saved quietly. A mismatch is a discrepancy: ARC shows how much is short or over, and tells the home's managers.
Close off a discrepancy
A manager chooses Close off on the check, and writes What was done about it. It is recorded with their name and the time, and stops appearing as open.
Sign off
Seniors and managers sign off entries and checks with Sign off; a reviewer can also send one back. Nobody signs off what they recorded. A deputy cannot sign off.
What gets flagged
- An account unchecked for more than seven days shows Needs a check, and appears in Due and overdue for a senior; one never opened does too.
- An account below zero appears there for a manager, and the managers are notified when it happens.
- An entry dated before a check that has already been made is marked Back-dated before a check.
Adjust, delete
Only a manager can Adjust an account (money in or out, with a reason) or delete an entry, with a reason of at least ten characters; a top-up is the exception, which only head office can delete. Deleted entries stay under Deleted. Deleting an opening count is only possible while nothing else is recorded, and lets the account be opened again.
