Sidebar Overview Home finances [account]

Record a spend as soon as you can after it happens, so the balance ARC shows is the balance in the tin or on the card.

Record it

On the account, choose Record a spend (the account must be open).

  1. Amount (£) — greater than zero.
  2. Date and time — defaults to now. It cannot be in the future, or before the account was opened.
  3. Where from — e.g. the shop.
  4. Category — chosen from your company's list.
  5. What it was for.
  6. For a child (optional) — tags the spend to a young person. It is paid by the home and appears on their record under Paid by the home; it does not come out of their pots.
  7. Receipt — a photo or PDF, up to 10MB.
  8. If there is no receipt, Why there is no receipt is required. ARC will not save a spend with neither.

Choose Record spend.

If the spend takes the account below zero, ARC says so before you save. It is still recorded, and the managers are told.

If you record the same spend twice within seconds, ARC refuses the second one and asks you to check the account first.

Correct a spend

Use the pencil on the entry (Correct) and choose Save. You can correct your own spend until it has been signed off, or one that has been sent back to you; a manager can correct any spend. If you add a new receipt, the old one is kept.

If you date an entry before a check that has already been made, it is flagged Back-dated before a check for a senior or manager to look at.

Mistakes you cannot correct are for a manager, who can delete an entry with a reason.
