Set up pay settings and staff pay rates
Choose which kinds of pay your organisation uses and the pay period, then set each person's rates.
Pay is worked out from the hours managers confirm and the claims they approve. Before you can run it, tell ARC which kinds of pay you use and what each person earns. Only organisation administrators can see or change either: managers never see rates.
Open Company Admin from the sidebar. In Rotas & pay, open Pay settings first, then Staff pay rates.
Pay settings
Choose the kinds of pay your organisation uses.
Base pay is how ordinary working hours are paid:
- No base pay (hours only)
- One hourly rate
- Separate day and night rates — this needs an active day shift and an active night shift among your shifts. The page shows whether each is found or missing.
Other pay is paid separately from base hours:
- On-call pay — a standby rate, and a rate for call-outs.
- Sleep-in pay — a flat rate for each sleep-in shift.
- Overtime — managers mark approved extra hours as overtime or not. Overtime needs a base pay mode, so it cannot be used with No base pay (hours only). Choose Overtime is paid as either A multiple of the base rate (enter a Multiple of base rate between 1 and 5; 1.5 means time and a half) or A fixed extra amount per hour, which you set per person.
Pay period says how often people are paid. Choose Paid as Weekly, Every two weeks, Every four weeks or Monthly, and give A date a period starts on. Both are required.
Select Save pay settings. One save covers all three sections.
Staff pay rates
Open Staff pay rates, choose a person, and use Add a rate for [name]:
- Type — only the kinds you switched on in Pay settings are offered: Hourly rate, Day rate (per hour), Night rate (per hour), On-call standby, On-call call-out (per hour), Sleep-in (per shift) or Overtime extra (per hour).
- Amount (£) — pounds and pence, such as 12.50.
- Effective from — the date the rate starts.
Each rate applies from its start date until a later one replaces it. To change a rate, add a new one with a later date. A person cannot have two rates of the same type from the same date.
You can Delete a rate until a finalised pay run has used it. After that it shows Used in a pay run and cannot be removed; add a new rate from a later date instead.
If someone has no rate for a kind of pay they worked, the pay run reports a missing rate and will not finalise until you add one.
