Set up shifts and rota settings

Define the shifts your homes work to, give a home its own handover times, and choose who sees the rota and who approves swaps.

WHERE THIS LIVES IN ARC
Sidebar Company Admin Rotas & pay Shifts

Each organisation defines its own shifts. Managers pick from them when they build the rota, and a home can use different handover times where it needs to. Everything here is for organisation administrators; managers cannot change it.

Open Company Admin from the sidebar. The Rotas & pay group holds Shifts.

Shifts

The Shifts page has two lists.

Handover shifts are the ones that divide the day. Together they cover the 24 hours exactly, and the day's required logs and periods follow them. You can rename them, change their colour and change their times, but the times must still cover the whole day without a gap or an overlap.

To work a different pattern, such as a Day shift and a Night shift, use Change handover shifts. Add a shift with Add a handover shift, remove one with its bin button, and set the times so each shift ends where the next begins. For one 24-hour shift, keep a single shift and give it the same start and end time. Save shifts checks the whole set covers the day before anything changes. Logs already recorded stay with the shift they were recorded on; a new shift's per-shift required logs start fresh.

If any home has its own handover times, adding or removing a shift puts every home back on the company's times. ARC names those homes and asks before it saves.

Handover times can be locked for a while after an update. When they are, the page says "Handover times are locked while the rota changes settle in. They unlock automatically; names and colours can still change."

Other shifts are the work, on-call and sleep-in shifts that sit beside them. Use Add a shift to create one: a Name, a Type (Work shift, On call or Sleep-in), a Start and End, and a Colour. A shift cannot start and end at the same time. Edit changes the name, times and colour. Archive stops a shift being offered; nothing already recorded changes. If day and night pay is on, ARC will not archive the last active shift in the day or night pay band.

Each shift shows Day or Night beside its times. ARC works this out from the times: a shift is Night when most of it falls between 22:00 and 07:00, otherwise Day. It cannot be set by hand, and it updates when you change the times. If day and night pay is on, a change to the times is refused when it would leave no shift in the day pay band or none in the night pay band.

A home's own handover times

Open Homes, then the home. The Handover times card shows whether the home uses the company's times. Set override gives the home its own times for every handover shift together, and Clear override goes back to the company's. The same lock applies.

Who sees the rota

Open Company information (in the Company & billing group). Two settings sit on that page.

Who can see the rota decides how much of the published rota staff see:

  • Whole company — the published rota of every home.
  • Their own homes — the homes they work in.
  • Only their own shifts — just the shifts they are on.

Select Save rota visibility. Staff only ever see published shifts, whichever you choose.

Who approves shift swaps decides who must approve a swap once a colleague has accepted it: Home manager (the manager of the home, or of both homes for a swap between homes) or Company admin (only an organisation administrator). Select Save swap approval.
