Run and export a pay run
Work out what each person is owed for a pay period from confirmed hours and approved claims, check every line, finalise it, and download a CSV for finance.
A pay run turns confirmed hours and approved claims into an amount for each person. Only organisation administrators can open Pay runs; this is the only place in ARC where pay amounts appear. If you manage a home and not the organisation, ask your administrator to run it, and make sure your hours and claims are confirmed first.
Open Company Admin from the sidebar, then Pay runs in the Rotas & pay group. Set up Pay settings and Staff pay rates before your first run.
Calculate
In Calculate a pay run, leave From and To (inclusive) empty to use the latest completed pay period from Pay settings, or choose your own dates (up to 93 days). Select Calculate pay run. If a draft for those dates already exists, ARC recalculates it instead of making a second.
A run cannot overlap a finalised run, or a draft for different dates.
Check it
Open a run to see it person by person: each Pay type, the Hours, the rate, the Overtime basis and the Amount, with a Grand total. Expand a line to see the shifts and claims behind it, each marked Approved claim or Confirmed hours. A line tagged Arrears is for earlier work that no finalised run had paid.
A draft is only a calculation. Any change to hours, claims or rates shows up when you select Recalculate.
Blockers
ARC lists anything that stops a clean run:
- Missing rate — nobody has set that rate for that person and date.
- Hours not confirmed — a shift with a person on it has no confirmed hours.
- Overlapping claim — an approved claim overlaps other paid time.
- Time outside the pay bands — some time falls in neither the day nor the night band.
- Hours without an assignment — confirmed hours belong to a shift that was removed or has nobody on it.
Amounts leave out the affected time. Fix each blocker, then Recalculate.
Finalise
Select Finalise. Finalising locks the hours, claims and pay rates the run used, so they cannot be changed. Hours confirmed or claims approved afterwards are not locked; they are paid as arrears in the next run.
- Only Hours not confirmed can be left out on purpose. The button becomes Finalise anyway and asks for a Reason for finalising anyway of at least 10 characters. Those shifts are paid as arrears in a later run once someone confirms them. The run is then marked Finalised with override, with your reason.
- Every other blocker must be fixed first; Finalise is off until they are.
A finalised run is read-only.
Reopen
Select Reopen on a finalised run if something was wrong. Give a Reason for reopening of at least 5 characters. ARC keeps the old run, marked Superseded, and starts a new draft revision for the same period, recalculated from the current hours. A run cannot be reopened while another finalised run overlaps its period.
Download for finance
On any run, select Download summary CSV (one row per person and pay type, with
a total row per person) or Download detail CSV (one row per shift or claim,
with planned and actual times, break and who confirmed them). A draft's file is marked draft in its run_status column and is not a
final payroll record. The file name carries the period and revision.
