Confirm hours and decide claims
Record what people actually worked against the rota, turn on-call call-outs into claims, and approve or reject extra-hours claims.
The rota says who was meant to work. Confirm hours records who actually did, and for how long. Pay is worked out from what you confirm and from the claims you approve, so this is the step that makes the pay run right. No money is shown on this page.
Open Staff rota and select Confirm hours. Choose the dates with From and To (included), or step by week with the arrows. The page has two tabs: Hours and Claims.
Hours
Every shift with a person on it, in the dates you chose, is listed by day. Each shows the Planned times and what is Recorded, and is marked Not confirmed, Confirmed or Paid. A line at the top says how many are not yet confirmed.
For each shift, check or change Start date, Start time, End date, End time and Break (minutes), add a Note (optional), and select Confirm hours. Once confirmed, the button reads Update hours.
- For an on-call shift, answer Called out?. For a sleep-in, answer Attended?. You must answer before you can save.
- For a work shift, tick Did not work (no pay) if the person did not work it.
- ARC refuses hours that end before they start, that run longer than 72 hours, that end in the future, or that start or finish more than 24 hours away from the planned shift. The break must be shorter than the shift.
Once hours are confirmed on a shift, that shift cannot be deleted or given to someone else.
Hours already paid
When a finalised pay run covers the dates, the page says so. Hours already paid are locked ("Paid in a finalised pay run. These hours can no longer be changed."). Hours you confirm afterwards are paid as arrears in the next run.
Call-outs
If someone on call went to a home, they recorded an attendance. Select Convert callouts to turn each closed attendance in the dates into a pending call-out claim. Running it again does not create duplicates.
An attendance that was never closed cannot be paid. ARC lists these under "Still open, not payable". Once the person closes it, convert again.
Claims
The Claims tab lists claims waiting for you; filter by Pending, Approved, Rejected or All. These are staff claims for extra hours or a missed call-out, and the call-outs you converted above.
- If your organisation uses overtime, you must choose Overtime: Yes or No before you approve.
- Approve or Reject each one. A decision cannot be changed afterwards.
- You cannot decide your own claim. Someone else has to.
