Invite staff and choose a role
Send an email invite, and understand what the role you pick actually grants.
An invite is an email with a single-use link. The person follows it, their account opens, and they land in the app with the role you chose.
Where the invite form is
Company Admin in the sidebar, then the Users tile — "Everyone in the company and the homes they work at" — which opens Company Users. Select Invite by email.
A new company invites people in the setup wizard, before it has paid — see Set up your company with the setup wizard. There a staff invite is held: it is saved, listed as "Sends when you go live", and emailed only once your first payment is through, so nobody gets an email too early. A Company admin invite is the exception: it is sent at once, so a second admin can help you finish setting up. Company admin is offered in the wizard only. Remove deletes an invite you no longer want.
Once your company is live, an invite from the Users page is emailed immediately. Invites are refused while the account is past due or cancelled: "Staff can be invited while you set up or once your account is active."
Send the invite
The popup is headed Invite staff member — "Invited staff can sign in as soon as your account is live".
- Email address.
- Role — "This determines their access level and permissions."
- Send invite.
The link expires after 7 days and works once. Outside the setup wizard there is no resend or revoke in the company admin area; both are operator actions. If a link has lapsed, invite the person again.
The four roles on offer
| On screen | What it gives them |
|---|---|
| Staff | The front-line baseline: logs, journals, handovers, incidents |
| Senior Staff | The senior dashboard, on top of the staff baseline |
| Manager | The manager dashboard, journal sign-off, incident review, version history |
| Safeguarding Lead | Dashboard routing only — see below |
Safeguarding Lead is not the same as DSL
This is the most misread thing in ARC, so it is worth being blunt.
Inviting someone as Safeguarding Lead gives them the safeguarding_lead
role, and that role does exactly one thing: it changes which dashboard they land
on. It grants no access to any safeguarding record.
The access is the DSL designation, which is separate, is set per home, and is assigned by a company admin from the home's page. Someone with the role and no designation gets a not-found page where the safeguarding workspace should be.
See Designate a DSL.
The role applies at every home
An invite sent from here is not tied to one home. When the person accepts, ARC creates a home membership for them at every home in your company that exists at that moment, all carrying the role you picked.
Inviting someone as Manager therefore makes them a manager everywhere, not just at the home you had in mind. If that is not what you want, invite them as Staff and then set the right role per home — see Assign people to homes.
You cannot invite another company admin from the Users page
Admin is not on the list. Once your company is live, only ARC can create a company admin invite. It is a deliberate limit on who can widen company-wide access. (The setup wizard is the one place a company admin can invite a second admin.)
You can, however, change an existing company member's role to Company Admin — see Manage users.
