The team competency matrix

A read-only grid of DBS validity and training currency across the whole team — the one HR view a home manager can open.

WHERE THIS LIVES IN ARC
Sidebar People (HR) Competency Matrix

The competency matrix is one table: every staff member down the side, every competency across the top, and the status of each in the cell where they meet.

It is a derived view. No data is entered here: every cell is worked out from the DBS and training records HR already keeps, at the moment you load the page. The page says so itself: "Derived view of DBS validity and training currency across all staff. Nothing is entered here", followed by what a marker does for you (below).

It is the one HR-derived screen a home manager can open without holding the HR scope, and it exists for exactly that reason: an inspector asking whether the team is trained should not need a company admin in the room.

Where to find it

Under People (HR) in the sidebar.

If you hold the HR scope, the matrix is the second tab inside Staff HR — Records and Competency Matrix — rather than a separate sidebar entry. A manager without the HR scope gets Competency Matrix as its own item, and nothing else from that group.

Reading the grid

The first column is DBS Check. After it comes one column per distinct training course logged anywhere in the company, alphabetically, each headed with the course name and the word Training above it. Course names are taken verbatim from the training records, so consistent naming across staff is what keeps the grid readable.

Each row is one staff member, with their name and their role beneath it. Each cell is a marker. The shape differs as well as the colour, so colour is never the only cue, and a legend sits above the grid:

Marker What it means
Current The renewal date is more than 30 days away
Due soon The renewal date is within 30 days
Overdue The renewal date has passed
No date A record exists, but no renewal date is set on it
Missing No record of that competency exists for this person

Hover a marker to see the renewal date behind it.

Find the gaps

Three tiles above the grid, Overdue, Due soon and Missing, show how many cells are in each state and across how many people. Select one to show only the people who have that state, and select it again, or choose Clear filter, to see everyone. The line above the grid says how many people and competencies you are looking at.

Select a marker

What happens depends on who you are.

  • HR or a company admin: it opens that person's record in Staff HR, so you can upload what is missing.
  • A manager without the HR scope: it shows the person, the competency, its status and when it renews, with a note that staff records are held by HR and that adding or renewing one is done by your HR contact or a company admin.

Where a cell's value comes from

  • The DBS cell uses the person's most recent DBS record — latest issue date first. Any level counts here.
  • A training cell uses that person's most recent record for that exact course name — latest completion date first.

Because the matrix reads whatever is on file, a gap is genuine: a Missing cell means nobody has recorded that check or that course for that person, not that ARC has lost it.

Export CSV

Export CSV downloads the whole grid as competency-matrix-[date].csv, with a header row of Name, Email, Role and then every competency, and one row per staff member carrying the status word from each cell.

That is the file to hand over, or to keep with your inspection evidence.

Scope

Staff are drawn from every home in your company, not just the one you are working in. Switching homes does not change the list.
