HR records

Where staff records live, who can see them, and why they never appear on an operational or child screen.

WHERE THIS LIVES IN ARC
Sidebar People (HR) Staff HR

ARC keeps staff records in a walled-off area of their own. Nothing in it appears on a dashboard, a home page or a young person's record, and it is not something a home manager can browse.

If you cannot see a People (HR) group in your sidebar, you do not hold the HR scope, and that is by design rather than a fault. Ask your company admin.

Who holds the HR scope

Two things grant it, both of them company-level:

  • Company admin — a company membership with the admin role.
  • The designated HR role — a company membership with the HR role. It sits alongside company admin rather than on top of an operational role.

It is never attached to a home role. A registered manager, a deputy, a senior, a DSL — none of them get HR records by virtue of their operational job. A separate company membership has to be given.

A staff member can read their own records, and can never edit them. That asymmetry is the point: safer-recruitment evidence is held about a person by their employer, not maintained by them.

Where it lives

Staff HR in the sidebar, under People (HR), opens the company's staff area with two tabs: Records and Competency Matrix.

The page describes itself: "DBS checks and training records for your staff. Visible only to company admins and the HR role — never on operational or child dashboards."

Records are held per company, not per home. Staff work across several homes and a DBS check does not change when someone moves between them, so choosing a different home in the switcher does not change whose records you see.

Renewals due and overdue

At the top of the Records tab sits Renewals due & overdue — every DBS and training record across the company whose renewal date has passed or is close. Overdue items sort to the top; each line names the staff member, what is due, the date, and a status badge.

When there is nothing to chase it reads "Nothing due — all DBS and training renewals are current."

This feed is deliberately separate from the operational Due & overdue card on the manager dashboard. HR renewal dates are kept off the shared surface entirely, so a DBS expiry can never surface on a home dashboard or a child's record.

One staff member at a time

Under the renewals feed, the Staff member picker lists everyone across the company's homes. Choose someone and their DBS checks and training appear beneath. Until you do, the page says "Select a staff member to view their HR records."

See DBS checks and training records for what goes in each, and Add a staff member for the safer-recruitment gate a new starter has to clear.

Adding someone

Add staff member, top right, opens the onboarding wizard. It creates the account and walks through the profile a person must have on file before they can work in a home.
