Care & safeguarding Children [young person] Daily life & records Incentives

Incentives is a ledger. Every time a young person earns or spends points you add an entry, and ARC keeps the running total.

It's the same ledger that sits behind Finances — points and money being two currencies of one thing — so if you know one, you know the other.

Record points

Open the young person's record, then Incentives under Daily life & records, and choose Record points.

Field
Type Earn, Bonus, Spend, Adjust Up, Adjust Down — required
Points A whole number, at least 1 — required
Date and time Defaults to now
Description What earned or spent them — required
Reason / alignment Which behaviour or goal it reinforces

Always a positive number

You never type a minus sign. The type decides the direction, and the form tells you which as you pick it — Increases the balance or Decreases the balance. Earn, Bonus and Adjust Up add; Spend and Adjust Down take away.

That's deliberate: an entry can't end up labelled one thing and doing another.

The running balance

Points balance sits at the top of the page, and each entry shows the balance as it stood after it.

The balance is recalculated from the whole chain every time you save, in date order. Back-date an entry and every balance after it moves to match. There is no separate total to correct, and it cannot drift away from the entries.

Correcting a mistake

Update an entry and change what's wrong. Only the fields you touch are sent, so fixing the amount leaves the description and reason alone — and the balances recompute again.

Where the record should show the correction rather than hide it, use Adjust Up or Adjust Down as a new entry instead.

Manager sign-off

An entry reads Logged until a manager signs it off, then Reviewed, with a Signed off badge and their name. Once only — a second attempt is refused with "This entry has already been signed off."

A manager can also send a record that is awaiting sign-off back to a named member of staff for changes, or undo a sign-off if something was missed. See Send a record back for changes, or undo a sign-off.
