Care & safeguarding Children [young person] Daily life & records Finances

Finances is the record of a young person's money. It is split into pots — your organisation chooses them — and each pot keeps its own running balance. Every entry carries the name of whoever recorded it.

This page is the young person's money only. The home's own cash and cards are separate: see The home's cash and cards.

What you see

Total across pots sits at the top, with a card for each pot showing its balance. Choose a pot to see only its entries; choose Show all pots to go back. A pot that has been archived is marked archived and still shows while the young person has money history in it.

If your organisation has not set up any pots, you will see a message instead and Record transaction is disabled. A company admin adds pots under Admin, then Finance pots.

Record a transaction

Choose Record transaction.

Field
Pot Which pot the money is in. Required
Type Deposit, Refund, Spend, Withdrawal, Adjust Up or Adjust Down. Required
Amount (£) To the penny, greater than zero. Required
Date and time Defaults to now. It cannot be in the future
Description What it was for. Required
Reason / alignment Any context
Receipt / reference A receipt number, or where the money was held

You never type a minus sign — the type decides the direction, and the form says whether it increases or decreases the balance. Use Receipt / reference: it is what turns an entry into evidence.

Moving money into a pot

To put money into a pot from the home's cash or card, or to shift it between the young person's pots, choose Move money. See Give pocket money from the tin.

Entries from before pots existed may still show types such as Pocket Money, Allowance or Save. They stay on the record, but are not offered for new entries.

Correcting a mistake

Update changes an entry. Where the record should show the correction rather than absorb it, add an Adjust Up or Adjust Down entry instead. Only a manager can delete a transaction, and must say why (at least ten characters); it is kept, with their name and reason, and managers can read it under Deleted transactions. A deletion is refused if it would leave a pot below zero.

Sign-off

An entry reads Logged until a senior or manager signs it off, and Reviewed afterwards, with Signed off and their name. A reviewer can also send an entry back with a note.

If the home spent its own money on this young person and tagged them, the spend appears under Paid by the home. It is shown for the record only and is not taken from any pot.
