Archive a young person
Close a record when a placement ends. Nothing is deleted — and you cannot undo it yourself.
Archiving is how a young person's record is closed when their placement ends. It takes them out of the working lists without touching anything that was written about them.
Read the last section before you do it. There is no un-archive button.
Archiving does not delete anything
The record is archived, not removed. ARC's confirmation says so: "Archive this child? They will be hidden from normal lists but all records are kept."
Everything written about the young person — logs, journals, incidents, plans — stays. The record itself remains retrievable; it is simply excluded from the lists staff work from day to day.
Archive the record
-
Open the young person's record. Sidebar, Company Admin, the Children tile, then Edit on their row.
-
Select Archive child, bottom-left of the form.
-
Confirm.
You are returned to the Children list, where the row now carries an Archived badge and is dimmed. Archived young people stay on the admin list — they are not hidden from you.
An archived record is read-only
Once archived, the whole form locks. Every field is disabled, Save changes is disabled, and so is Archive child. A banner explains: "This child is archived. Records are retained; contact support if you need to restore access in the app UI."
Archiving a second time is refused with "Child is already archived."
There is no un-archive
Nothing in the company admin area brings an archived record back. If you archive the wrong young person, or archive one too early, you need ARC support — the on-screen banner says as much.
So before you archive:
- Check you have the right person. Two young people can share an LA Number if they are at different homes.
- Check the placement really has ended. If they are moving to another home in your company, move them instead — archiving is not how a transfer is recorded.
- Set the Placement End Date first if you want the end of the placement on the record. Archiving does not set it for you, and you cannot edit the record afterwards.
