Photos
Two ways to add photos, with different limits — and how to choose between them.
Anyone in the home can add photos. Deleting is the same.
There are two places photos go, and they behave differently. Picking the wrong one is the usual reason an upload is refused.
A photo log
Part of the daily record: a moment from the shift, attached to the day.
Choose Photos as the log (it is one of the Additional logs on the young person's card), add up to 10 files, each up to 20 MB, and write a short caption. By default the form has a Photos field and a Caption; your organisation can change a log's form. Photos appear as small pictures in the log. It becomes part of that day's journal like any other log, and stops being editable once a manager signs the day off.
The photo gallery
The young person's own collection, on their record. Up to 20 at a time, each up to 15 MB.
Use this for photos that belong to them rather than to a particular shift.
Before you take one
Photographs of a child in care are personal data, and often more than that. Check that consent covers what you're about to do, and think about who else is in the frame — other young people in a group photo have their own position on this, whatever the young person in front of you says.
If you're not sure, ask before you take it rather than after.
If an upload is refused
Almost always too many at once, or a file over the size limit. Upload in smaller batches. The log takes 10 files per field and the gallery 20 at a time.
