WHERE THIS LIVES IN ARC
Sidebar Company Admin Billing & subscription

Billing & subscription in the sidebar opens Billing & subscription — "Manage your subscription, payment method, and invoices". Everything to do with money lives here. (While your company is still setting up, the page says Not paid yet — see Getting set up and paying.)

What the page shows

  • Active subscription: a status badge (Active, Past due, Cancelled, Demo or Not live), your Current billing total per month or per year, the number of Homes, and Next payment with its date and amount. Any discount code in force is shown under the total, as "Code [code]: [what it does]".
  • Your homes: one line per home with its band and price, and Manage beside each. The total is Total per month or Total per year.
  • Payment method: the card Stripe will charge, shown as its brand and last four digits ("Visa ending 4242") with "Expires 04/2028", for example.
  • Recent invoices: your latest invoices with their date, a badge (Paid, Due, Void or Unpaid) and the amount. View opens the invoice on Stripe; an invoice that is due shows Pay instead. View all invoices opens Stripe's billing portal.

All of this is read from Stripe when you open the page. If Stripe can't be reached just then, the page says Billing details unavailable — "We couldn't load your card and invoices just now. You can see them in Stripe." — with an Open Stripe button, rather than showing an empty card or no invoices.

The email your invoices go to is set under Company Admin, in the Billing information tile ("Billing status and the email invoices go to").

Homes on the Prepare plan

A home on the Prepare plan shows Prepare beside its price (£29 a month) in Your homes. Select Move to Full plan to see the home's band price and today's prorated charge, then confirm. The charge is taken at once and the child features unlock when it is paid. If a Prepare home is near its 12-month limit, a banner here tells you the date it moves to the Full plan.

Notices at the top

State Notice What it means
Past due Payment issue — "Update your payment method by [date] to avoid restrictions." A payment failed; you are inside the grace period
Cancelled Subscription ended — "Your account is on hold. Resubscribe to continue using ARC." The subscription has ended

Changing the card, invoice history and cancellation

Select Manage billing with Stripe. ARC opens Stripe's billing portal for your company. Changing the card, the full invoice history and cancelling are all handled there, not in ARC — which is why ARC never holds your card number.

Update next to the card and Fix payment on the past-due notice open the same portal.

When a payment fails

A failed renewal moves the account to past due and starts a 14-day grace period. During grace the account keeps working as normal, tablets included, and the notice tells you the date the grace runs out.

If the invoice is paid, the account returns to active and the grace date is cleared. If it is not, the account becomes restricted when the grace runs out.

A failed charge for a home you've just added is different: the account stays active, and only that home waits, as Awaiting payment, with Retry payment in your homes list. See Add a home.

What "restricted" means

A restricted account is on hold. Staff can sign in, but they can't open the home's records, read or write, and tablets are signed out. Nothing is deleted: everything is there again as soon as billing is sorted.

An account is restricted when the subscription is cancelled, or when it is past due and the grace period has run out.

The billing screens stay reachable while restricted, so a company admin can always get in to fix it. If you can't, contact ARC. See ARC sends me to billing.

Coming back after cancelling

Stripe's portal can't restart a cancelled subscription. Instead, Resubscribe on the Subscription ended notice takes you to Restart your subscription: choose monthly or annual and pay for the period ahead in the card form on that page, and the account opens again once the payment is through. Before you resubscribe, the billing page's Not paid yet card lists your homes with Pay and restart.

Adding homes from this screen

On an active account, Add another home above your homes opens the create-home form. The new home is charged for the rest of the current period straight away and goes live once that is paid. See Add a home.
