Sidebar Care & safeguarding Children [the young person] Daily life & records Subject access export

A subject access request asks what you hold about a person. This screen compiles it: every record type ARC holds for one young person, in one bundle, with a PDF you can work from.

It is restricted to the home's registered manager and to company admins. Not front-line staff, not a senior, and not a DSL on the strength of the designation alone. If someone below that opens the page they get: "Subject Access exports are restricted to the registered manager and company admin."

Compile the bundle

Open the young person, then Subject access export under Daily life & records. The page describes itself as "GDPR — every record held about this child, filtered to what you are authorised to see. Each export is audited." ARC compiles it as the page loads — there is no "generate" step.

The summary strip shows Total records held, the number of Record types, and who generated it and when.

Below that is one row per record type, each with its count. Rows with records expand; a row reading 0 records does not. Every type is listed even when it holds nothing — the empty rows are the proof that nothing was skipped.

Thirty-two types are covered, including placements, admissions, incidents, physical interventions, return home interviews, safeguarding concerns, Reg 40 notifications, complaints, consents, chats with the young person (listed as Chats with the young person), plans, risk assessments, statutory care plans, LAC reviews, contact logs, wishes and feelings, rewards, sanctions, activities, appointments, weekly reports, daily journals, daily logs, documents, record documents and photos.

Medication and money are covered too, in several sections each:

  • Medication: prescriptions, Medication: doses (MAR), Medication: over-the-counter medicines not to be given and Medication errors.
  • Ledger (Incentives & Finances) and Home spending for the child. The second holds only spends from the home's accounts that are tagged to this young person; the home's other spending is not exported.

There is no separate Health or Education section: both live inside a plan, so they come out under Plans.

The bundle is filtered to you

This is the part to understand before you release anything.

The bundle contains what you are allowed to see, not everything that exists. DSL-private safeguarding concerns, allegations against staff, and DSL-private documents are excluded unless your own access reaches them.

So a manager who is not the DSL and a manager who is will compile different bundles for the same young person. If the request needs the full record, it has to be compiled by someone whose access covers it — and you should not assume what you have in front of you is complete.

Download the PDF

Download PDF produces the same bundle as a document, opened in a new tab.

Every export is audited

Both the on-screen view and the PDF write an entry to the company audit log: who exported, which young person, when, the format, and how many records of each type were released.

That includes simply opening the page. Opening it is a disclosure event and is recorded as one, so do not browse it out of curiosity.

The retention schedule

The bottom of the page, headed Retention schedule, carries ARC's retention policy and a per-record-type basis — what is kept, and on what footing. It is part of the answer to a subject access request, so read it as part of the bundle rather than as small print.
