Subject access requests

Compile everything ARC holds about one young person into a single audited bundle, and understand what the bundle leaves out.

WHERE THIS LIVES IN ARC
Sidebar Children [young person] Daily life & records Subject access export

The Subject Access Export compiles every record ARC holds about one young person into a single bundle you can read on screen or download as a PDF. It is built for answering a subject access request, and it is deliberately narrow about who can run it.

Open the young person's record, then Daily life & records → Subject access export. If you are not authorised, the page says so: "Subject Access exports are restricted to the registered manager and company admin."

What the bundle contains

The header shows the young person's name, and a summary strip gives Total records held, the number of Record types, and who generated it and when. Below that is one row per record type — placements, admissions, incidents, physical interventions, return home interviews, safeguarding concerns, Regulation 40 notifications, complaints, consents, keywork sessions, plans, risk assessments, statutory care plans, LAC reviews, contact logs, wishes and feelings, rewards, sanctions, activities, appointments, ledger, weekly reports, daily journals, daily logs, documents, record documents and photos.

Every type is listed even when it holds nothing. A row reading 0 records is the point: the bundle shows what was checked, not only what was found. Rows with records expand to show each one with its date and key fields.

At the bottom sits the retention schedule — the policy and the basis for holding each type. See What ARC keeps.

The bundle is filtered to you

This is the part to understand before you release anything. The export shows the records the person running it is authorised to see — not everything on file.

  • DSL-private safeguarding concerns are excluded unless you hold the DSL designation for that home. A manager who is not a DSL will not see them, and the export gives no sign that they exist.
  • Allegations against a member of staff are excluded unless you are authorised to see them, and are never visible to the person they are about.
  • Documents marked DSL-private are excluded on the same basis, unless you raised the document yourself.

So two people can run the same export and get different bundles. If you are compiling a response to a formal request, that is a fact to check before you treat the output as complete.

Every export is logged

Both the on-screen view and the PDF write an entry to the company audit log recording who exported, which young person, when, in which format, how many records of each type, and the total. Loading the page and downloading the PDF are two separate disclosure events and produce two separate entries.

Downloading it

Download PDF streams the same bundle as a document: the cover detail, the young person's details, each section with its records, and the retention schedule at the end.
